Privacy Policy

From you (business customers):

• Account information: name, email address, business name, phone number
• Billing information: payment processing is handled entirely by Stripe — OrioHub never stores card numbers or banking details
• Business settings: hours, services offered, service area, greeting, pricing rules, and escalation preferences

From your callers:

• Caller phone number
• Call recordings and AI-generated transcriptions
• Information disclosed during the call: name, address, issue description, urgency level

Automatically:

• Usage data: call durations, timestamps, minutes consumed
• Log data: IP addresses, browser type, pages visited on oriohub.com

• To operate the Service: route inbound calls, generate lead summaries, send alerts
• To process subscription billing and overage charges
• To send you lead notifications via email and SMS
• To improve our AI models using anonymized and aggregated call data — we do not use individually identifiable recordings to train models without your consent
• To comply with legal obligations and enforce our Terms of Service

We do not sell your data. We share data only with:

• Stripe — payment processing and subscription management
• Retell AI — voice AI infrastructure; call audio and transcriptions are processed on their platform
• Twilio — SMS delivery for lead alerts
• Supabase — database hosting for your account and lead data
• Resend — transactional email delivery
• Law enforcement — when required by valid legal process

All service providers are contractually required to protect your data and use it only to provide services on our behalf.

All inbound calls answered by OrioHub are recorded and transcribed by our AI. You are responsible for notifying your callers per applicable law (see our Terms of Service, Section 3). We recommend displaying a notice on your business materials, website, and outgoing voicemail.

• Call recordings and transcriptions: retained for 12 months, then permanently deleted
• Lead summaries and call logs: retained while your account is active and for 90 days after cancellation
• Account information: retained until you request deletion
• Billing records: retained as required by applicable law (generally 7 years)

We use industry-standard security practices: encrypted data transmission (TLS 1.2+), encrypted storage, and role-based access controls. No system is 100% secure. If you believe your account has been compromised, contact us immediately at security@oriohub.com.

Depending on your location, you may have rights to access, correct, export, or delete the personal data we hold about you, and to object to or restrict certain processing. To exercise these rights, email privacy@oriohub.com. We will respond within 30 days.

The Service is intended for business customers and is not directed at anyone under 18. We do not knowingly collect personal information from minors.

We may update this Privacy Policy from time to time. We will notify you by email before material changes take effect. The “Effective” date at the top reflects the most recent revision.
